Cancellation policy
If you do not attend your appointment another patient may be prevented from accessing treatment. Please give as much notice as possible if you are unable to attend. If less than 48 hours’ notice is given you will be unable to cancel online and a cancellation fee may apply.
Fees
All fees are payable to the practitioner and payment will be taken by the practitioner or by the clinic receptionist on behalf of the practitioner.
Insurance
ICOM Clinic will ensure that all Acupuncture practitioners are qualified acupuncturists with at least 3 years of training at a teaching institution validated by the British Acupuncture Accreditation Board.
All other practitioners are fully qualified to a similarly high standard in their field.
All practitioners must hold professional indemnity insurance and a valid First Aid certificate.
Privacy policy
ICOM is committed to protecting the privacy and security of your personal information. This privacy notice describes how we collect and use personal information about you during and after your relationship with us, in accordance with the General Data Protection Regulation (GDPR).
Under the Data Protection Act 1998 the College is a Data Controller and we are therefore legally responsible for the personal data we collect and hold about you. One of our responsibilities is to tell you about the different ways we collect and use your personal data. This statement provides details about these uses.
Personal data is data relating to a living individual who can be identified from that data or from that data and other information in the College’s possession. It includes data such as name, address, id number etc. Sensitive personal data is defined in the General Data Protection Regulation (GDPR) and is data relating to racial or ethnic origin, political opinions, religious beliefs, trade union membership, health, sex life, criminal convictions.
We need your consent to hold your details in order for the clinic reception to contact you about your appointment. Our booking system automatically sends appointment confirmations, patient reminders and follow up emails via text and email. All patients have the opportunity to indicate the ways in which we may contact them via the patient information form.
All practitioners with whom you have booked an appointment have access to your basic data. Only practitioners who are directly treating a patient will have access to a patient’s clinical notes. All patients who attend the clinic are required to have signed the patient information form. By signing this form, you are confirming that you are consenting to ICOM holding and processing your personal data for the purposes of your treatment.
Our students are studying for a Licentiate in Acupuncture and where possible actual patient cases are used to assist in the teaching and research process, subject to the normal obligations of confidentiality.
Sharing information with your GP
As part of your ongoing care, we may inform your GP about aspects of your treatment at lCOM. All patients can indicate whether they do not wish their GP to be contacted via the patient information form. Please note that in the event of a serious concern in relation to your physical or mental health we are obliged by law to contact your GP without your permission.
Student Observations
ICOM Clinic is a teaching clinic and we may request your permission for students at the International College of Oriental Medicine to be in attendance while the practitioner is treating you. We will always ask your permission to allow students to observe your treatment, even if you have given consent during your initial consultation.
