ICOM Acupuncture Clinic in East Grinstead is part of the International College of Oriental Medicine (ICOM) which is the UK’s oldest Acupuncture training college. ICOM was established in 1972 and has been at its current site in East Grinstead since 1977. Refurbished in 2019, our peaceful clinic is situated in the college building on Green Hedges Avenue (off London Road) with beautiful gardens and a private car park.

We have a highly experienced team of practitioners in our clinic. In addition to Acupuncture, we offer a range of other services at our clinic including Chinese Herbal Medicine, Osteopathy, Sports Massage Therapy, Counselling & Psychotherapy as well as Exercise & Health Coaching. 

All of the practitioners in our clinic are members of their professional body and are fully insured.

Clinic Receptionist

We are looking for a Clinic Receptionist for our small, but busy Acupuncture Clinic in East Grinstead. We serve hundreds of patients from our local community each month and operate as a student teaching clinic, which supports our integrated training college. The post is 2 days per week, plus Saturday mornings and it is permanent, starting as soon as possible.

We pride ourselves on the community that has evolved over many years of teaching and treating from the clinic. We are looking for someone that is excited by the prospect of being involved in a caring community and health care setting. You will be part of a friendly, professional team and will report to the General Manager.

This role is a crucial post within the clinic and will therefore suit a personable and experienced receptionist with strong communication and interpersonal skills. We are looking for an individual who works well within a team but also has the confidence to take initiative when working independently. Excellent organisation skills are important as well as a calm and professional manner.

 

Role Summary

The clinic receptionists ensure the smooth and successful running of the clinic to the benefit of our patients, students, clinic practitioners, the college, and the visiting public. Their role is to support the college students who are observing or practising in the clinic and to support the team of clinic supervisors who teach in the student clinics. The post holder is expected to adopt a flexible approach to working in ensuring that duties are carried out to the highest possible standard and in compliance with all relevant policies and codes.

 

Main Tasks
  • Welcoming patients as ‘front of house’ for the ICOM Clinic. The receptionist must be warm, welcoming, friendly and well presented
  • Responsible for answering telephone calls so an excellent and reliable phone manner is essential
  • Booking appointments
  • Answering emails
  • Calling patients at practitioners’ request
  • Filing
  • Taking payments from patients.
  • Opening up the clinic in the morning and closing securely in the evening.
  • Compiling reports
  • Keeping up to date records
  • Dealing with student enquiries
  • Using Acuity online booking software and MS365 suite.
  • Ensuring Student clinic appointment are filled in advance

 

Additional Tasks
  • Stock taking and ordering clinic supplies 
  • Liaise with the cleaner 
  • Handling petty cash
  • Photocopying
  • Booking library books in and out for students using simple library web software
  • Washing and drying towels and gowns
  • Other ad hoc tasks
